Effective Date: February 1st, 2026

The Women in Aviation North Texas Chapter is dedicated to creating a safe, welcoming, and inspiring environment for all participants at our events, including career fairs at local schools. To support this mission, we have established the following policies:

Parental Attendance Requirement

Parents or legal guardians must accompany their students (minors under 18) to all chapter events and remain present for the activity. Our events foster family engagement and shared experiences within the aviation community. Students may not be dropped off without a parent or guardian in attendance. No exceptions will be made. This policy ensures a supervised, secure environment and encourages parental involvement in their student's aviation journey.

Safety First

Safety is our top priority. All attendees must follow the safety instructions provided by event organizers, venue staff, or aviation professionals. These instructions include adhering to equipment usage guidelines, restricted area boundaries, and emergency procedures. Attendees are responsible for their conduct and supervising their students or children to prevent unsafe behavior.

Assumption of Risk

Participation in chapter events, including those involving aviation-related activities or career fairs, is voluntary. Attendees and volunteers acknowledge that such activities may carry inherent risks (e.g., physical injury, property damage) and assume responsibility for those risks.

Liability Waiver

The Women in Aviation North Texas Chapter, its officers, volunteers, and affiliates are not liable for any injuries, damages, or losses sustained during events or career fairs, whether to persons or property, except where caused by the chapter's gross negligence or willful misconduct. By attending or volunteering, participants agree to release and hold harmless the chapter from any claims arising from their participation.

No Refunds Policy

Refunds are at the discretion of the Women in Aviation - North Texas Chapter. We cannot guarantee refunds due to payment processing limitations. However, if we are notified that a participant cannot attend at least 48 hours before the event, we may, at our discretion, allow the ticket to be transferred to another attendee. Please request a transfer through the Contact Us Form on our website.

Event Check-In

Parents and students must check in together with a chapter representative upon arrival. The Event Check-In Policy ensures accurate attendance records and allows us to address any immediate concerns.

Code of Conduct

All attendees and volunteers are expected to behave respectfully toward others, including fellow participants, staff, and students, as well as property. At the discretion of chapter leadership or school staff, disruptive, harassing, or unsafe actions may result in removal from the event or career fair.

Photography and Media

We may take photos or videos during events for promotional purposes. By attending or volunteering, you automatically consent to the chapter capturing and using your likeness in these materials, unless otherwise prohibited by school policy.

Weather and Cancellations

Events or career fairs may be modified or canceled due to weather or unforeseen circumstances. The chapter is not responsible for any costs (e.g., travel) incurred as a result of such changes.

Volunteering for Career Fairs

The Women in Aviation North Texas Chapter frequently partners with local schools to provide 2-3 volunteers to speak about their careers in aviation at career fairs. Volunteers represent the chapter and the aviation industry, inspiring students and promoting opportunities in the field.

Volunteer Requirements: Volunteers must be approved by chapter leadership. Volunteers must comply with school policies, including background checks or other screening processes, if required by the school. Volunteers are responsible for their transportation and any associated costs.

Professional Conduct at Career Fairs: Volunteers are expected to uphold the highest standards of professional conduct while representing the chapter at school career fairs. Professional Conduct includes dressing in professional or business casual attire appropriate for a school environment. Communicating respectfully and appropriately with students, school staff, and other participants. Avoid discussions of sensitive or controversial topics unrelated to aviation careers. Refraining from sharing personal contact information with students and directing inquiries to the chapter's official contact channels, and adhering to all school safety and behavioral guidelines, including student interactions and campus access.

Protection of All Parties: To ensure the safety and protection of students, schools, volunteers, and the chapter, volunteers must never be alone with a student. A school staff member or another adult must be present during all interactions. The chapter will coordinate with schools to clarify expectations and responsibilities before the event. Volunteers agree to report any concerns about student safety or inappropriate behavior to school staff and chapter leadership immediately. The chapter, its volunteers, and affiliates are not liable for incidents arising from volunteer participation at career fairs, except in cases of gross negligence or willful misconduct by the chapter.
